An ECTN — or Electronic Cargo Tracking Note — is a mandatory maritime waiver certificate required for shipments to 27 African countries. Issued before vessel’s departure and/or just after departure, the ECTN allows customs authorities to verify cargo details and is essential for clearance at the destination port. For certain countries, the ECTN number must also appear on the final Bill of Lading.

Any shipper, exporter or freight forwarder, sending cargo by sea to a country that requires an ECTN. This applies regardless of cargo type — FCL (Full Container Load), breakbulk, RoRo, project cargo or LCL (Less Container Load) cargo. 

The ECTN exists to give customs authorities effective oversight of imports and exports. It also provides financial security by preventing the under-declaration of goods and improving the accuracy of trade data.

Failing to provide a valid cargo tracking note can result in significant fines, shipment delays, or refusal to unload at the destination port.

An ECTN is required for all goods to various African countries. The main purpose of this cargo tracking note is so that your goods can be unloaded at the port of destination; therefore an ECTN should be obtained before arrival.

It is important to note some countries have deadlines based on the ETD and ETA, so double check the specific country page on our Destinations page.

Each ECTN captures the essential details of a shipment: the parties involved, the value of the goods, freight costs, a description of the cargo, vessel details and the shipping mode. It is critical that the information on the ECTN matches the supporting documents (Bill of Lading, commercial invoice, packing list, etc.).

The exact documents required to issue an ECTN vary by destination but the standard required documents are:

• EXA (Export Customs document)

Depending on the destination, the certificate is known by different names, including:

• LC — Loading Certificate
• BESC — Bordereau Electronique de Suivi de Cargaison
• BSC — Bordereau de Suivi de Cargaison
• FERI — Fiche Électronique de Renseignements à l'Importation
• BIETC — Bordereau d'Identification Électronique de Traçabilité des Cargaisons

No, only one ECTN can be made per BL (with the exception of Togo; please check the specific country page for details).

The ECTN number is unique to the BL, therefore no ECTN can be made for an existing order with the same BL number.

This depends on the country of destination. Corrections after validation are not possible for all countries, and where permitted, an additional fee may apply.

Loading Certificate is the name used in Angola for an Electronical Cargo Tracking Note.

The DU document or Documento Unico (Provisorio) is a required document for shipments to Angola. The DU/DUP number(s) must be listed on the Loading Certificate.

The ARCCLA file contains all the important information of the shipment and should be filled in correctly by the company/client requesting the ECTN. It can be uploaded in PDF or Excel format. The ARCCLA document is a mandatory document requested by authorities for validation of the Loading Certificate.

The Bordereau d'Identification Électronique de Traçabilité des Cargaisons (BIETC)  is a document required for all shipments to Gabon. It's the same as an ECTN document.

The pre-validation must be done before shipping. Final validation depends on the loading zone — Zone Europe: 10 days after departure, Zone ROW: 15 days after departure. It's not possible to validate after this date; remaining steps are finalised at destination.  

For Gabon, it's not possible to reopen a BIETC after validation to make a correction. Any changes need to be handled at destination.

As of February 5, 2014, vehicles older than 10 years are no longer allowed into Gabon. The ban applies to categories B, C, D, E and F.

The original bill of lading (OBL) indicating the BIETC number is required to apply for final validation.

The advance is a faster way to pay. Under normal circumstances, you would make an order, wait until you get the quote and then transfer the correct amount. Then we have to wait until we get the payment from the bank to proceed with the draft. Because of the advance, we skip the wire transfer step by already depositing a certain amount into your account. This allows us to start processing the draft much faster.

No, this is not possible. An order can only be created if you are registered or logged in. 

Click on the button "correction" on the page of your order. The status of your order will change and the team will make the correction. Please verify in the communication box which changes need to be made.  

You can give approval by using the button "Approval". This can be found at the top of your order. The status of your order will change and the validation process has now started.

If your ECTN, FERI, LC, BESC, waiver or BIETC is no longer needed, you can request a cancellation. It depends on the status of your order if this can be done. Our team will guide you through this process. For ECTN, FERI, LC, BESC, waiver or BIETC in who are in process, cancellation fees may apply.
